Based at our Krakow site in Poland, you will become part of a small but fast-growing development team creating innovative image processing software. We are located in the center of Krakow in the Lubicz Park office space.

Your responsibilities

We are looking for an organized, proactive, and friendly Office Assistant to help keep our office running smoothly and help the team with organization topics.

In this role, you will be the go-to person for daily office operations, supplier communication, invoice coordination, team events, and employee training support. You will work independently, stay on top of different topics, and make sure things get done.

  • Manage day-to-day office operations and ensure a well-organized, welcoming office environment.
  • Coordinate office supplies, kitchen supplies, deliveries, mail and general office services.
  • Manage office-related purchasing processes, including ordering, invoice handling and follow-up with suppliers and accounting.
  • Act as the main contact person for the landlord, building management and external service providers.
  • Coordinate office maintenance requests and follow up on their progress.
  • Plan and organize team social events and internal office activities.
  • Coordinate the employee training program, including course research, enrollment, feedback collection and budget tracking.
  • Support selected administrative purchasing processes, including IT-related requests where needed.
  • Handle office-related requests from company headquarters.

Your qualifications

  • Strong communication skills and a friendly, professional approach
  • Confidence in dealing with suppliers, service providers, and internal stakeholders
  • Ability to be persistent when required
  • Independent, structured, and hands-on working style
  • Practical English skills
  • Practical Experience with MS Office package for communication and handling
  • Autonomy in time planning to be present in the office when needed, without being required to be there all the time
